Patient recall, on WhatsApp

Patients that
come back on time.

Cleanings, refills, vaccinations and checkups all repeat on a schedule — yet the patient who should return in six months just quietly disappears. RecallBook keeps every recall on a board, tells you who's due today, and nudges them on WhatsApp.

01 · The problem

You fixed the tooth.
Then you lost the patient.

A dental cleaning is due every six months, a BP medicine every thirty days, a booster on a fixed date. But nobody handed your clinic a recall system — so the follow-up lives in a register, a diary, and your receptionist's memory, and all three quietly leak patients.

The six-month recall just evaporates

You tell the patient "come back in six months." Six months later nobody remembers to call, they don't come back, and you never even notice the gap.

The register can't tell you who's due

To find today's recalls you'd have to read every past entry and do the date maths by hand. So you don't — and overdue patients pile up invisibly.

Refills and boosters slip through

The diabetic patient runs out of Metformin, the child misses a booster window. Different cadences, all tracked in your head, all easy to drop.

Reminders are typed one at a time

When you do remember, someone opens WhatsApp and retypes the same message for each patient — so most days it simply doesn't happen.

02 · The insight

A recall is the most predictable visit there is — same patient, known interval, a due date you can calculate — yet it's the one still left to memory.

RecallBook's whole job is to close that gap: turn every follow-up into a dated recall, surface who is due, nudge them on WhatsApp, and on "done" auto-schedule the next one — so a patient stays on cadence whether or not anyone remembered to re-book them.

03 · How it works

Register once. The cadence runs itself.

  1. 1

    Register the patient

Name, phone and age — that's it. Farhan Khan, 26, new patient; Kavya Joshi, 3, on the vaccination schedule. One entry per person.

  2. 2

Set a recall with a due date

Pick the type — dental cleaning, medicine refill, vaccination or checkup — a due date and an interval. Each type comes with a sensible default cadence.

  3. 3

    The board surfaces who's due

RecallBook sorts every open recall into due-today, this-week and overdue, most-overdue first, with a breakdown by type. Open it and you know who to call.

  4. 4

    Send, mark done, next auto-schedules

Send the WhatsApp recall with a tap. When the patient comes in, mark it done — and the next recall of that type is booked automatically at the interval.

04 · What's inside

The whole recall loop, in one book.

Four recall types

Dental cleanings, medicine refills, vaccinations and checkups — each with its own default interval, overridable per patient.

Due-window board

Every open recall sorted into due-today, this-week and overdue, most-overdue first. The clinic's day, at a glance.

WhatsApp recall messages

A personalised recall drafted for each patient — name, type, due date — and staged in your outbox to send from your own number.

Mark done → auto-next

Close a recall and the next of that type is scheduled at the interval automatically. No patient falls off the cadence.

Per-patient recall history

Open any patient to see every past and upcoming recall, add a new one, send a reminder, or mark the current one done.

Breakdown by type

See at a glance how much of today's load is cleanings vs refills vs vaccinations vs checkups — so nothing hides behind a total.

05 · The dashboard

Open it in the morning. See the whole day in ten seconds.

06 · Pricing

Simple subscription. However many patients you see.

If RecallBook brings back one lapsed patient a week who would otherwise have drifted to another clinic, it's already paid for itself many times over — and you've bought back the recalls you were silently losing.

  • Unlimited patients & recalls
  • Due-today / this-week / overdue board
  • WhatsApp recall messages + mark-done auto-next
  • Per-patient recall history & breakdown by type

07 · Who it's for & questions

Built for the single clinic, not the hospital chain.

RecallBook is for the dentist, doctor or small clinic — the practice big enough that lapsed recalls are real lost revenue, but small enough that a full practice-management suite is overkill and overpriced. If your recalls currently live in a register and someone's memory, this is for you.

Does it actually send WhatsApp messages, or just remind me to?

RecallBook drafts each recall message — personalised, with the patient's name, the recall type and the due date — and stages it in your outbox. You send it from your own clinic number with a tap, so it always looks like it came from the clinic, not a robot.

What kinds of recalls can I track?

Four types out of the box: dental cleanings, medicine refills, vaccinations and checkups. Each has a sensible default interval — six months for cleanings and checkups, thirty days for refills, a year for vaccinations — which you can override per patient.

What happens when I mark a recall done?

The recall is closed as done and RecallBook immediately schedules the next one of the same type at the interval — done date plus interval days. That is the whole point: a patient never falls off the cadence because someone forgot to re-book them.

I'm not very techy. How long does it take to set up?

An evening. You register each patient once, add their recalls, and from then on the board shows you exactly who to call today, this week and who is overdue. No spreadsheets, no diary, no scrolling WhatsApp to reconstruct who is due.

What does it cost?

Pricing is worked out on a quick discovery call and billed monthly on subscription. We're keeping public prices off the page while we onboard our first clinics.
